Assistant Project Manager

SMMA's Project Management department is seeking a full-time Assistant Project Manager to join the talented group of designers and problem-solvers at its Cambridge location. Given SMMA's integrated, multidisciplinary composition, the role affords a chance to coordinate with staff across numerous areas of design expertise, and provides exposure to a variety of project and client types -- primarily, K-12, Higher Education, and Corporate and Commercial. SMMA promotes a fast-paced, team-oriented environment that fosters intellectual and creative growth. Key Responsibilities:
 
  • Reconciling SMMA submittal and RFI logs with CM's logs.
  • Tracking submittals and RFI status and reminding staff when they are due/overdue.
  • Scheduling meetings, conference calls, and WebEx meetings.
  • Coordinating professional stamps required for construction documents and design and construction control affidavits.
  • Transmitting packages to clients, contractors, etc.
  • Coordinate with SMMA Administration for print requests, food orders and travel requests.
  • Organizing all drawings, images, documents, etc. in the project folder.
  • Updating the deliverables calendar for all projects at SMMA.
  • Editing proposals with Project Manager oversight.
  • Creating Purchase Orders (PO) for payment to consultants.
  • Submitting Certificate of Insurance requests.
  • Writing/updating meeting minutes.
  • Reviewing Pay Applications from Contractors, verify progress on projects in construction with designers.
  • Writing proposals with Project Manager guidance.
  • Writing and editing requests for additional services or design change notifications.
  • Coordinating with staff regarding hours spent / hours expected to be spent on projects.
  • Processing consultant invoices.
     
Minimal Qualifications:
 
  • 2-3 years in school, working towards bachelor's degree in Architecture
  • Experience with a variety of design software and programs (AutoCAD, Revit, SketchUp, Adobe Illustrator), as well as Microsoft Office
  • Strong communication and interpersonal skills
  • High level of interest in both conceptual and technical aspects of building design
